Registration

Registration will begin at 8 a.m. PDT on Sunday, April 24, 2022.

After registration opens at 8 a.m. April 24, 2022, click on this registration link to register for the 2022 in-person WOS conference June 9-12, 2022.

Conference registration pricing this year will be $55 for WOS members, $75 for non-members, and $35 for students. Field trip leaders will be invited to register free of charge.

Field trips will be $20 per person per full day trip and $15 per person for half-day and owling trips. You will only be able to sign up for one trip per person per day, as well as one owling trip for the conference (if desired).

Important Dates

  • Sunday, April 24, 2022, at 8:00 a.m. PDT — Registration opens via link on WOS website
  • Sunday, May 1, 2022 — Cutoff date for hotel reservations at the conference block rate
  • Wednesday, June 1, 2022 — Online registration closes
  • Thursday, June 9 through Sunday, June 12, 2022 – Conference in Spokane Valley (limited onsite registration is available, excluding meals)

Registration Desk at the Conference

Registration packet pick-up and other registration functions, such as field trip changes, will be in the lobby of the Tru by Hilton located at 13509 E Mansfield Ave, Spokane Valley, WA. The WOS registration desk will be open at the following times:

  • Thursday, June 9th, 4:00 p.m. – 7:00 p.m.
  • Friday and Saturday mornings, 4:45 a.m. – 5:15 a.m.

On Friday and Saturday evenings, the WOS registration desk will be at CenterPlace Regional Event Center, located at 2426 N. Discovery Place, Spokane Valley, WA.  The registration desk will be open from 5:00 p.m. – 6:00 p.m.

Registration Guidelines

The Registrar for online registration is Tracy Mitchell, volunteer & WOS member. If you run into issues during the registration process, please email her at tlmitche1@gmail.com or for more urgent issues, call her directly at 206-356-9180. Due to high volume on the first morning of registration, you may have to leave a voicemail message, and she will get back to you as quickly as possible.

To protect the health and safety of our members and the broader community, WOS is requiring all conference attendees to be vaccinated against COVID-19. By registering, you agree that you will be fully vaccinated (2 weeks from the last vaccine dose) by June 9, 2022. You will be asked to show proof of your COVID-19 vaccination when you arrive at the conference. Information on how to get or show proof of your vaccinations is available on this Washington State Department of Health webpage.

To help make registration a smooth experience for everyone (and minimize trips filling up while you are registering), you may only register for up to two people at a time. Choose the registrant type that matches your situation:

  • Active WOS members will register as “Conference Attendee – member”. Note: You will be able to renew your membership during the registration process if desired. Please contact membership@wos.org with any questions or updates regarding your membership contact information or to make other arrangements.
  • Field trip leaders, keynote speakers and awardees should register as a “Field Trip Leader/Co-Leader” (thus waiving your registration fee).
  • If you are not a current WOS member, you may still attend the entire conference as “Non-member attendee.”

Trip capacity may vary, but is generally 12 participants, including leaders. Field trip leaders: Please do not sign up for your own trip, as we have already factored you in. (WOS thanks you for your time!)  Details on all field trips including trip ID numbers, driving distance, hiking required, etc. are available on the WOS conference field trips page.  The trips will be listed on the registration site by full day, followed by half day trips and will be indicated by a unique trip ID number and the trip name.

Helpful Tips

Preparing for and dealing with “Inventory Deficiency”

Because things can fill up quickly in the first hour of registration, we recommend that you have some backup trips in mind in case your first choice(s) fill up during the registration process.  If this happens, when you click the “Complete Registration” button, you will get the following message:

Due to low inventory levels, there now is insufficient inventory to complete your request for the indicated items. Further action on the indicated fields is required before completing this request.

If this happens, click the “Edit” button, and it will take you back to your registration to make another selection. (Go to the field that says in RED font Inventory Deficiency Here). IMPORTANT: If you exit or use the back arrow instead, you will need to start your registration from the beginning.

Meal tickets

Friday light dinner and Saturday evening banquet meal tickets are available ONLY in advance. You will choose options for each meal you want to attend. Note for Field trip leaders/co-leaders: your meals are provided, BUT ONLY if you select your meals from the field trip leader section.

If you would like to purchase an extra meal ticket for someone not attending the conference, then you will have the option to purchase those through registration as well. Meal tickets can be added to your registration any time up until June 1st by accessing your registration using the “Return Attendee” registration type. After that date, meals can no longer be added or refunded in the event you need to cancel your registration.

Registration changes

Upon registering, you will receive a confirmation email with the items you ordered. You can add items after you register, but you cannot change or delete items on your own. If you want to add at a later date, then choose the “Return Attendee” in the Registration type section, so that you don’t get charged for a second registration fee. Then select any new items to add and enter your contact information again. It will warn you that this is a duplicate entry, but it will send you through to PayPal to pay for the added items with no problem. Please contact the Registrar directly if you need to edit or cancel purchased items.

T-shirt and Poster

During registration, you will have the opportunity to order and pay for A 2022 WOS CONFERENCE T-SHIRT and/or a 2022 WOS CONFERENCE COMMEMORATIVE POSTER, both featuring original art work by Lisa Hill. For more information about these two items, go to the t-shirt and poster page.

Payment

Payment for your registration can be made by check, credit card or with PayPal. If you choose credit card, it will send you to the correct PayPal site to process payment at the end of registration. For those who prefer to pay by check, the addresses for the WOS Treasurer will be available in your registration confirmation email. If you have trouble with payment, please call the Registrar, Tracy Mitchell 206-356-9180, and she can help process it manually.

Donations

There are additional options for donating to the WOS General Fund, as well as the Patrick Sullivan Young Birders Fund included with registration. The Patrick Sullivan Young Birders’ Fund awards competitive grants to encourage and support young people interested in birding.
